Terms of service

In effect from October 1, 2026.

These terms cover your use of Associates, which is made and run by Elemental Softworks. By signing up or signing in, you agree to them. If you use Associates for an organisation, you agree to them for that organisation too. You must be at least 16 to use it.

Your account

  • Keep your password to yourself, and tell us if you think someone else has used your account.
  • You are responsible for what is done with your account.
  • An organisation’s owners decide who joins it and what each person can see and do. If you give someone access, what they do with it is your organisation’s responsibility.

Your information

What you and your organisation put into Associates stays yours. You let us store, copy and display it only as far as running the service needs. Our privacy policy says what we keep, for how long, and who else handles it.

You are responsible for having the right to put other people’s details into Associates, such as your members’ contact information, and for anything your own website tells the people who send its contact form.

When you ask us for help, our support staff may open your organisation’s account through a support session: limited in time, recorded in the account’s activity log, and visible to its Owners.

Using it fairly

Don’t use Associates to:

  • break the law, or store or send anything you have no right to;
  • get into accounts, organisations or information that aren’t yours;
  • disrupt the service, or put more load on it than ordinary use would;
  • send unsolicited messages through it.

We may suspend an account that does, and will tell you why where we can.

Paying

An organisation pays for the modules it chooses and a seat for each person in it, at the prices its Plan page shows, monthly or yearly as it chooses when it first buys. Everyone in the account takes a seat, and so does every invitation still waiting to be accepted.

  • Prices are before sales tax. Where we collect it, it is added at the rate for the billing address you give.
  • A plan renews at the end of each month or year, and is charged to the payment method on file, until it is cancelled.
  • What you add is charged straight away, for the rest of the current month or year. What you take off stays until that period ends, and is not refunded.
  • An Owner can cancel from the Plan page. The plan then ends when the current period does, with no refund for the rest of it.
  • If a payment fails, it is tried again. If it cannot be collected, the plan ends and the modules it paid for switch off; the account keeps its users and settings.
  • Payments are handled by Stripe. Your card details go to Stripe, not to us.
  • We may change our prices. A new price applies to what is bought after the change, and we will tell an organisation’s Owners before changing what they already pay.

The service

We work to keep Associates available and your information safe, but we provide it as it is, without a promise that it will always be available or free of faults. Features marked “coming soon” are not part of the service until they are released. We may change or stop parts of the service, and will give notice of changes that take something away from you.

Responsibility

As far as the law allows, we are not responsible for indirect losses, such as lost profits or lost business, that come from using or being unable to use Associates.

Leaving

  • You can leave an organisation’s account from your profile at any time, unless you are its only Owner, who must first make someone else an Owner.
  • You can delete your user from your profile. You are taken out of every account, and your name and email address are removed straight away. This cannot be undone.
  • An Owner can delete an organisation’s account from its settings. It becomes read-only for 14 days, during which any Owner can cancel, and is then deleted with everything in it. Its paid subscription, if it has one, ends when the deletion is asked for, with no refund for the rest of the period, and cancelling the deletion does not restart it.
  • For anything else, contact [email protected], or by post to Elemental Softworks, 421 College Park Drive, Monroeville, PA 15146.

Law

These terms are governed by the laws of Pennsylvania, and the courts of Allegheny County.

Changes to these terms

If these terms change, the new version will be published on this page, and the next time you sign in Associates will show you what changed and ask you to accept it. Continuing to use Associates after accepting means you accept the new version.
